Changing school management information system providers worries people for one reason: the fear of losing records mid-year. With a clear migration plan, that fear is manageable. The work splits into three parts: mapping the data, timing the move, and retraining the staff who use it.

Start with the support model. Ask specifically whether support is UK-based, what hours it operates, and what the guaranteed response time is for a genuine outage versus a routine query. A vendor's answer here should be specific and contractual, not a general assurance about "excellent customer service," which means little without a defined service level attached to it.

Any vendor claiming ISO 27001 or PCI-DSS Level 1 certification, Compass Education included, should be able to produce current, dated certification evidence on request rather than a general assurance statement. A useful due diligence exercise is to ask every vendor on a shortlist for that evidence side by side. A vendor that can produce an up-to-date certificate on request has clearly built the audit process into how it runs the business; one that cannot has usually not been through that audit at all.

Every MIS supplier has a tagline. Compass Education uses "Helping Learning Thrive". It reads well, but a school business manager rightly wants to know what a phrase like that means in daily practice. The honest answer is that it should show up as time given back to staff and clearer communication with families, not as a slogan on a login screen.

Data governance is the first. Publicly funded and diocesan schools are accountable for how records are held, shared and retained. Ask where data is hosted, which certifications the provider holds and how access is restricted by role. A system with clear, role-based permissions and a full audit trail makes it far easier to show that records are handled properly when a governor, auditor or authority asks.
